Tailored setup, then pay per document

We don't try to sell you a plan that doesn't fit. We design the flow from scratch for your process, and from then on you pay as you process documents. No per-user licences, no artificial minimums.

Initial setup

A flow designed around your process

from €950*one-off

Analysis of your current process, flow design, field mapping, configuration of sources and destinations, and training for your team.

* Final price depends on complexity (number of sources, specific integrations, validation rules).

Monthly running cost

Paid per document processed

from €0.08per document

Progressive tiers: each tier applies only to the documents inside it, like an energy tariff. The average price per document keeps falling as volume grows. No per-user licences; monthly minimum of €29.

Tier Price/doc Minimum
first 200 documents 0,15€ €29/month
documents 201 to 1,000 0,12€ -
documents 1,001 to 5,000 0,08€ -
above 5,000 On request -

Example: 1,500 docs/month = 200 × €0.15 + 800 × €0.12 + 500 × €0.08 = €166 (an average of €0.111 per document).

Included in every plan

Multi-channel intake (email, WhatsApp, upload, API)
AI extraction of the document's fields
Automatic validation + human approval workflow
Delivery to several destinations in parallel

Monthly running cost 60€ €0.12 per document
Time recovered ~25h/month the equivalent of ~6h a week of one person's time

Estimate based on 3 minutes of manual work per document (varies by type). The initial setup is invoiced separately.

Questions about pricing

Why is the setup "tailored" rather than a fixed plan?

Because fit is what separates DocFlow working well from a customer giving up after two weeks. We invest in designing the flow for your specific process (which sources, which fields, which rules, which destinations) so that it goes live doing what you need, without having to backtrack. One-size-fits-all plans tend to get expensive in rework.

What counts as a "processed document"?

Every file that enters DocFlow (invoice, receipt, ID card, till slip) and goes through the full pipeline of extraction and delivery to one or more destinations. Documents discarded by the inbox policy (filters) do not count. Automatic retries after a failure do not count either (only the first attempt does).

How are the tiers applied?

By slice, like an energy tariff: the first 200 documents of the month cost €0.15 each, the next 800 cost €0.12, and everything above 1,000 costs €0.08. Processing more never makes the earlier documents more expensive, and the average cost per document keeps falling as volume grows. For example: 1,500 documents cost €166, an average of €0.111 per document.

Is there a minimum contract or lock-in period?

No. The subscription renews each month and you can cancel with 30 days' notice. The setup investment happens once at the start and is not tied to the monthly plan.

What if my volume varies a lot from month to month?

The tariff is worked out on each month's real volume. There is no rollover between months and no penalty for quiet months (beyond the €29 monthly minimum). In peak months you naturally pay more; in slow months you pay less.

Does the price include integration with my ERP?

Integrations with Portuguese ERPs (PHC, Sage, Primavera, Moloni, Toconline) are designed as part of the initial setup. The price depends on how complex the integration is and how many fields need mapping. We'll go through your specific case in the demo.

Can I try it before committing to the setup?

Yes. Book a 30-minute demo and we'll show the platform processing a real example of yours. If it makes sense, we move on to the setup phase; if not, there's no cost.
